Terms & Conditions

Please read these Terms & Conditions carefully before booking or using any service provided by The Executive Chauffeurs. By making a reservation, using our website, or engaging our services in any way, you agree to be bound by these Terms. If you do not agree with any part of these Terms, please do not use our services.

1. Definitions

For the purposes of these Terms & Conditions, the following definitions apply:

  • "The Executive Chauffeurs," "we," "us," or "our" refers to The Executive Chauffeurs, a luxury ground transportation company operating across the United States.
  • "Client," "you," or "your" refers to any individual, organization, or entity that books, uses, or requests our services — whether directly or through a third party such as a corporate account administrator or travel management company.
  • "Service" or "Services" refers to any ground transportation service provided by The Executive Chauffeurs, including but not limited to airport transfers, black car service, chauffeur service, corporate travel, hourly car service, intercity rides, event transportation, limousine service, wedding transportation, funeral transportation, and point-to-point rides.
  • "Booking" or "Reservation" refers to any confirmed arrangement made through our website, by telephone, or through an authorized booking channel for the provision of our Services.
  • "Chauffeur" refers to any professional driver employed by or contracted to The Executive Chauffeurs to provide our Services.
  • "Vehicle" refers to any automobile from our fleet used to provide our Services.
  • "Website" refers to theexecutivechauffeurs.com and all associated pages, subdomains, and digital properties.

2. Acceptance of Terms

By making a reservation with The Executive Chauffeurs — whether online, by telephone, or through any other booking channel — you confirm that you have read, understood, and agree to be bound by these Terms & Conditions, together with our Privacy Policy and any additional terms specific to the service you have booked.

If you are making a booking on behalf of another person or organization, you represent that you have the authority to bind that person or organization to these Terms.

These Terms constitute the entire agreement between you and The Executive Chauffeurs with respect to the subject matter hereof, and supersede all prior understandings, representations, warranties, and agreements — whether written or oral — between the parties.

3. Our Services

The Executive Chauffeurs provides premium luxury ground transportation services across more than 20 cities in 8 U.S. states. Our services are available 24 hours a day, 7 days a week, 365 days a year, subject to availability and the conditions set out in these Terms.

We reserve the right to:

  • Decline to provide service to any client at our reasonable discretion.
  • Substitute a comparable vehicle from our fleet where the originally requested vehicle is unavailable due to mechanical issues, accident, or force majeure events.
  • Modify, suspend, or discontinue any service or feature without prior notice, where reasonably necessary.
  • Subcontract services to vetted partner operators in markets or circumstances where our own fleet is fully committed, provided that the same service standards are maintained.

Where we engage a partner operator to fulfill a booking, we will notify you in advance where practicable. Our obligations under these Terms extend to services provided by partner operators on our behalf.

4. Reservations and Bookings

4.1 Making a Reservation

Reservations may be made through our website at /book or by calling 1-800-832-6701. A reservation is confirmed only upon our issuance of a written or electronic confirmation. Verbal agreements alone do not constitute a binding reservation.

4.2 Accuracy of Information

You are responsible for ensuring that all booking information you provide is accurate and complete — including pickup and drop-off addresses, flight numbers, travel dates and times, passenger count, and any special requirements. We are not liable for delays, service failures, or additional charges arising from inaccurate or incomplete information provided at the time of booking.

4.3 Booking Confirmation

Upon confirmation of your reservation, we will send a booking confirmation to the email address or phone number you provided. Please review this confirmation carefully and notify us immediately of any errors or discrepancies at 1-800-832-6701.

4.4 Advance Booking

We strongly recommend booking at least 24 hours in advance for standard services. For wedding transportation, event coordination, and large-group bookings, we recommend booking several weeks in advance. While we accommodate same-day bookings where possible, availability cannot be guaranteed for short-notice requests.

4.5 Third-Party Bookings

Where a booking is made by a third party on your behalf — such as a travel manager, executive assistant, or corporate account administrator — the primary client identified in the booking remains subject to these Terms.

5. Pricing and Payment

5.1 Pricing

Pricing for our services is determined by service type, vehicle selected, distance, duration, and market. All rates are quoted at the time of booking and are fixed — we do not charge surge pricing or increase fares based on time of day, demand, weather, or other variable factors.

5.2 Additional Charges

The following additional charges may apply in certain circumstances:

Tolls and ParkingRoad tolls, bridge tolls, airport fees, and parking charges incurred during your journey may be added to your invoice.
Cleaning FeeA cleaning fee will be charged where a vehicle requires extraordinary cleaning following a booking — including damage caused by spills, soiling, or other client-caused contamination.
DamageClients are responsible for the cost of any damage to the vehicle or its contents caused by passengers during the booking period.
GratuityGratuity is not included in our standard rates. Tips are at the client's sole discretion and are always appreciated by our chauffeurs.

5.3 Payment

Payment is due in accordance with the terms communicated at booking. We accept all major credit and debit cards. Corporate accounts are invoiced monthly with payment due within the terms agreed at account setup. We reserve the right to charge the payment method on file for any outstanding amounts, including additional charges as described in Section 5.2.

5.4 Taxes

All applicable federal, state, and local taxes will be applied to your invoice where required by law. Tax amounts are in addition to the quoted service rate unless otherwise stated.

6. Cancellation and Modification Policy

6.1 Client-Initiated Cancellations

Our standard cancellation policy is as follows. Specific services — including wedding transportation, large event programs, and multi-vehicle bookings — may be subject to different cancellation terms, which will be communicated at the time of booking.

All cancellation requests must be made by calling 1-800-832-6701. Written confirmation of cancellation will be provided upon request.

6.2 Modifications

Modification requests — including changes to pickup time, location, destination, or vehicle — must be submitted as early as possible and are subject to availability. We will use reasonable efforts to accommodate modification requests. Where a modification results in a material change to the service, revised pricing may apply.

6.3 Cancellations by The Executive Chauffeurs

We reserve the right to cancel a booking in exceptional circumstances — including vehicle breakdown, severe weather, force majeure events, or where a client has materially breached these Terms. In the event of a cancellation initiated by us (other than for client breach or force majeure), we will provide a full refund of any amounts paid. We are not liable for consequential losses arising from such cancellation.

7. No-Show Policy

A "no-show" occurs when a client fails to appear at the confirmed pickup location within the complimentary waiting period following the scheduled pickup time, without having contacted us to modify or cancel the booking.

The complimentary waiting periods are as follows:

  • Standard point-to-point pickups: 15 minutes from the scheduled pickup time.
  • Airport arrivals: 60 minutes from the time the flight lands, or from the original scheduled pickup time if the flight arrives early. We do not charge for flight delays as we track flights in real time.

Following the complimentary waiting period, if we are unable to make contact with you and you have not arrived, your chauffeur may be released. In such circumstances, a no-show fee equivalent to 100% of the total booking value will be charged to your payment method on file.

8. Client Responsibilities

By booking our services, you agree to the following:

8.1 Conduct

All passengers are expected to conduct themselves in a respectful, lawful, and appropriate manner throughout the duration of the booking. We reserve the right to terminate a booking immediately and without refund where:

  • Any passenger behaves in a threatening, abusive, or disruptive manner toward the chauffeur or other parties.
  • Any passenger is in a state that presents a risk to the safety or condition of the vehicle or other occupants.
  • Any passenger engages in unlawful activity in or related to the vehicle.

8.2 Alcohol and Substances

The consumption of alcohol in our vehicles is permitted only where expressly arranged in advance and in compliance with applicable law. The consumption of illegal substances in our vehicles is strictly prohibited and will result in immediate termination of the booking, removal from the vehicle, and may be reported to law enforcement.

8.3 Smoking

Smoking — including cigarettes, cigars, e-cigarettes, and vaping devices — is strictly prohibited in all of our vehicles. A cleaning fee will be applied where evidence of smoking is found in the vehicle following a booking.

8.4 Seatbelts

All passengers are required to wear seatbelts at all times while the vehicle is in motion. The Executive Chauffeurs is not liable for injuries arising from failure to comply with this requirement.

8.5 Animals

Pets and animals are permitted in our vehicles only where arranged in advance and confirmed at booking. Service animals are accommodated in all vehicles in accordance with applicable law.

8.6 Passenger Count

The number of passengers in the vehicle at any time must not exceed the seating capacity of the vehicle selected. Chauffeurs are authorized to refuse boarding to additional passengers beyond the confirmed capacity.

9. Vehicle and Fleet Standards

The Executive Chauffeurs maintains all vehicles in its fleet to the highest standards of cleanliness, presentation, and mechanical condition. All vehicles are inspected and detailed before each assignment. We reserve the right to substitute a comparable vehicle where the originally assigned vehicle is unavailable due to mechanical failure, accident, or other circumstances beyond our control. We will notify the client of any substitution as early as practicable.

All vehicles carry comprehensive commercial insurance coverage. Proof of insurance is available on request.

10. Chauffeur Conduct and Authority

Our chauffeurs are trained professionals and are the sole authority on the safe and lawful operation of the vehicle during a booking. The chauffeur's decisions regarding route, speed, and compliance with traffic laws are final and are not subject to override by passengers.

Chauffeurs are bound by our confidentiality and discretion standards and will not disclose client information or the content of any communications witnessed during an assignment to any third party, except as required by law.

11. Wait Time and Flight Tracking

For airport transfer bookings, we monitor your flight from departure to landing at no additional charge. Where a flight is delayed, cancelled, or diverted, we will adjust the chauffeur's arrival time accordingly. Your fixed rate remains unchanged regardless of flight delays — we do not charge additional fees for flight delays that extend the wait time of our chauffeur.

For non-airport pickups, complimentary waiting time of 15 minutes applies from the scheduled pickup time. Extended waiting time beyond this period for point-to-point bookings may incur additional charges as described in Section 5.2.

For hourly bookings, waiting time between stops is included within the hourly rate. There are no additional charges for time spent waiting between appointments during a confirmed hourly booking.

12. Luggage and Personal Property

12.1 Luggage Assistance

Our chauffeurs will assist with luggage at both the pickup and drop-off locations as a standard part of our service. For items of significant value, fragile items, or unusual dimensions, please notify us at the time of booking so that we can make appropriate arrangements.

12.2 Items Left in Vehicles

The Executive Chauffeurs is not responsible for items left in vehicles following the completion of a booking. If you believe you have left an item in one of our vehicles, please contact us as soon as possible at 1-800-832-6701. We will make reasonable efforts to locate and return your property, but we cannot guarantee the recovery of any item and we accept no liability for lost, damaged, or stolen personal property.

12.3 Prohibited Items

Firearms, weapons, illegal substances, and any item that poses a risk to the safety of the vehicle, the chauffeur, or other passengers are strictly prohibited. The chauffeur is authorized to refuse transport of any such item and, where applicable, to report the matter to law enforcement.

13. Limitation of Liability

Please read this section carefully. It limits our liability to you in connection with the services we provide.

13.1 General Limitation

To the fullest extent permitted by applicable law, the total liability of The Executive Chauffeurs to any client in connection with any booking or service — whether arising in contract, tort, negligence, or otherwise — shall not exceed the total amount paid by the client for the specific booking giving rise to the claim.

13.2 Consequential and Indirect Losses

We are not liable for any indirect, consequential, special, or incidental losses — including, without limitation, loss of business, loss of revenue, missed connections, missed flights, or any other loss arising from delays, cancellations, or service disruptions, unless caused by our gross negligence or willful misconduct.

13.3 Delays Caused by Third Parties or Circumstances Beyond Our Control

We are not liable for delays or service failures caused by circumstances beyond our reasonable control, including traffic, road closures, weather conditions, accidents, acts of God, or the acts or omissions of third parties. We will always make every reasonable effort to complete your journey as booked.

13.4 Personal Injury and Property Damage

Nothing in these Terms limits or excludes our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded by applicable law.

13.5 Client's Own Insurance

Clients are encouraged to maintain their own travel insurance or personal effects insurance for items of significant value transported in our vehicles. Our commercial vehicle insurance covers vehicle operation but does not extend to client personal property.

14. Indemnification

You agree to indemnify, defend, and hold harmless The Executive Chauffeurs, its officers, employees, chauffeurs, agents, and partners from and against any and all claims, liabilities, damages, losses, costs, and expenses — including reasonable legal fees — arising from or relating to:

  • Your breach of these Terms & Conditions.
  • The conduct of you or any passenger traveling under your booking.
  • Any damage caused to our vehicles or property by you or any passenger in your booking.
  • Any violation of applicable law by you or any passenger during a booking.
  • Any false or misleading information you provided in connection with a booking.

15. Force Majeure

We will not be in breach of these Terms, and will not be liable for any failure or delay in performing our obligations, where such failure or delay results from circumstances beyond our reasonable control — including but not limited to: acts of God, natural disasters, severe weather, pandemics, government-imposed restrictions, civil unrest, labor disputes, acts of terrorism, or failures of third-party infrastructure or services.

In the event of a force majeure event, we will notify you as soon as practicable, provide a full refund where payment has been made and service cannot be completed, and use reasonable efforts to reschedule or provide an alternative arrangement where possible.

16. Governing Law and Dispute Resolution

16.1 Governing Law

These Terms & Conditions are governed by and construed in accordance with the laws of the State of Texas, United States, without regard to its conflict of law provisions. To the extent that any dispute involves a service performed in another state, the laws of that state may apply with respect to that specific dispute.

16.2 Informal Resolution

Before initiating any formal dispute process, we encourage you to contact us directly at 1-800-832-6701 or support@theexecutivechauffeurs.com to allow us the opportunity to resolve your concern informally. We take all client feedback seriously and will make every reasonable effort to reach a fair resolution.

16.3 Dispute Resolution

Any dispute, controversy, or claim arising from or relating to these Terms, or the breach thereof, that cannot be resolved informally shall be submitted to binding arbitration in accordance with the rules of the American Arbitration Association (AAA) in effect at the time of the dispute. The arbitration shall be conducted in English in the State of Texas. The arbitrator's decision shall be final and binding and may be enforced in any court of competent jurisdiction.

16.4 Class Action Waiver

To the fullest extent permitted by applicable law, you agree that any dispute resolution proceedings will be conducted only on an individual basis and not as part of a class, consolidated, or representative action.

17. Website Use and Intellectual Property

17.1 Website Use

You may use our website for lawful purposes and in accordance with these Terms. You agree not to:

  • Use the website in any way that violates applicable law or regulation.
  • Attempt to gain unauthorized access to any portion of the website, our servers, or any related systems or networks.
  • Introduce malicious code, viruses, or any technology designed to disrupt or damage the website.
  • Use automated means to scrape, crawl, or extract data from the website without our prior written consent.
  • Use the website to transmit unsolicited or commercial communications.

17.2 Intellectual Property

All content on our website — including text, graphics, logos, images, icons, photographs, audio and video clips, data compilations, and software — is the property of The Executive Chauffeurs or its content suppliers and is protected by applicable United States and international intellectual property laws.

You may not reproduce, distribute, modify, create derivative works of, publicly display, publicly perform, republish, download, store, or transmit any content from our website without our prior written consent, except for personal, non-commercial use where explicitly permitted.

17.3 Disclaimer of Warranties

Our website is provided on an "as is" and "as available" basis, without any warranties of any kind — express or implied — including but not limited to warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that the website will be uninterrupted, error-free, or free of viruses or other harmful components.

18. Privacy

Your use of our services and website is also governed by our Privacy Policy, which is incorporated into these Terms by reference. Please review our Privacy Policy to understand how we collect, use, and protect your personal information.

19. Corporate Accounts

Corporate accounts are subject to a separate corporate account agreement in addition to these Terms. In the event of a conflict between these Terms and the corporate account agreement, the corporate account agreement shall govern with respect to the subject matter of that agreement.

Corporate account holders are responsible for ensuring that all individuals making bookings on behalf of the account are aware of and comply with these Terms. The corporate account holder bears financial responsibility for all bookings made under the account, including any additional charges, cleaning fees, or damages incurred by any passenger traveling under the account.

20. Changes to These Terms

We reserve the right to modify these Terms & Conditions at any time. When we make material changes, we will update the "Last Updated" date at the top of this page and, where appropriate, provide notice by email or on our website.

Your continued use of our services following any change to these Terms constitutes your acceptance of the updated Terms. If you do not agree to the updated Terms, you must stop using our services.

We recommend reviewing these Terms periodically. Previous versions of these Terms are available on request.
